Position Overview:

The Events Coordinator is responsible for planning, coordinating, and executing a wide range of events at our 5-star restaurant locations. This role requires a meticulous eye for detail, exceptional organizational skills, and a passion for creating memorable experiences. The Events Coordinator will work closely with clients and internal teams to ensure each event exceeds expectations.

Key Responsibilities:

  1. Event Planning and Coordination:
    • Manage all aspects of event planning, from initial consultation to post-event follow-up.
    • Coordinate with clients to understand their event vision, objectives, and requirements.
    • Develop detailed event plans, including timelines, budgets, and logistical details.
  2. Client Relations:
    • Serve as the primary point of contact for clients throughout the event planning process.
    • Build and maintain strong relationships with clients to foster repeat business and referrals.
    • Provide expert advice on event design, menu selection, and venue setup to align with clients' preferences and budgets.
  3. Collaboration and Communication:
    • Liaise with internal teams, including kitchen, service staff, and management, to ensure seamless event execution.
    • Communicate event details and expectations clearly to all relevant departments.
    • Coordinate with external vendors (e.g., florists, entertainment, AV services) to deliver comprehensive event solutions.
  4. On-Site Event Management:
    • Oversee event setup, execution, and teardown to ensure everything runs smoothly and on schedule.
    • Address any issues or changes promptly and professionally, maintaining a calm and positive demeanor.
    • Ensure all health, safety, and hygiene standards are upheld during events.
  5. Financial Management:
    • Prepare and manage event budgets, ensuring all costs are tracked and controlled.
    • Provide clients with accurate quotes and invoices, and handle any financial negotiations or adjustments.
    • Work towards meeting or exceeding event revenue targets set by the company.
  6. Marketing and Sales Support:
    • Collaborate with the marketing team to promote the restaurant’s event services and offerings.
    • Assist in creating promotional materials and content for events.
    • Participate in sales activities, including venue tours and promotional events, to attract potential clients.
  7. Post-Event Follow-Up:
    • Conduct post-event evaluations to gather client feedback and identify areas for improvement.
    • Ensure timely processing of event-related paperwork, including payments and client feedback reports.
    • Maintain comprehensive records of all events for future reference and planning.

Qualifications:

  • Bachelor’s degree in Hospitality Management, Event Planning, or a related field preferred.
  • Minimum of 2-4 years of experience in event coordination, preferably in a high-end or luxury setting.
  • Strong organizational and multitasking skills, with the ability to manage multiple events simultaneously.
  • Excellent interpersonal and communication skills.
  • Proficiency in event management software and Microsoft Office Suite.
  • Ability to work flexible hours, including evenings, weekends, and holidays, as required.
  • A keen eye for detail and a passion for delivering exceptional guest experiences.
  • Knowledge of the food and beverage industry and an appreciation for fine dining.
